If used in conjunction with the online registration, team rosters/or participant information can be transferred into the hotel system to be used as rooming lists.  Hotels in your block can view pick up for the event and occupancy online in their hotel through a password provided by the administrator.  Administrators can use reports to track pick up at individual hotels, comp rooms picked up, as well as commissions and rebates. This system provides client reservation information to validate hotel blocks as well as verify commissions and or rebates. Use the hotel management interface to create history and provide convention centers, visitor’s bureaus, or other city officials with total room nights, peak rooms, and any other necessary information to help show economic impact of your event on the city.

Depending on your needs, AES is prepared to provide multiple options and pricing for managing hotels for your events. 

Option 1: AES provide the software, training and support for you to manage and track your hotel reservations / room blocks and communication with the hotels for your event.

Option 2: AES will manage any or all of the following options for you:

1. Hotel negotiations – taking into account proximity to your event, room block options and best possible rates for your event attendees.
2. Managing Reservation / Room Block prior to the event, communication with hotels including rooming list, tracking data, specific hotel synopsis reports and more. 
3. Collection of rebates and commissions the event ends.
